Systems & Donor Information Specialist

Education Minimum: Bachelor’s Degree or equivalent experience 

Qualifications: 

  • 5 years of applicable experience required 
  • Superior organizational and time management skills and great with details
  • Team player with ability to initiate as well as implement plans 
  • Exceptional people skills and problem-solving skills 
  • High proficiency and teachability in databases and reporting; specific experience with Salesforce or similar cloud-based donor CRMs preferred 
  • Experience with backend of WordPress websites 
  • Excellent verbal and written communication 
  • Proficient in Google Apps, Microsoft Office with high proficiency in Excel
  • Knowledge of HTML, CSS, JavaScript, PHP, and other relevant web design coding languages preferred but not required
  • 1+ years of relevant SEO and marketing experience 
  • Good understanding of search performance marketing, conversion, and online customer acquisition 
  • Ability to multitask and prioritize, managing multiple projects simultaneously

Reports to: Executive Director (ED) 

Status: Full Time 

Job Description: This position is responsible for the backbone of all of JMI’s systems and supports the work of JMI’s Development, Finance, Communication, and Sponsorship teams. Manages the databases/technology that the teams depend on in order to do their work. Work includes: list generation and reporting for fundraising activities, interaction with donors, maintaining excellence in care, and detail of our donor information in SalesForce while maintaining JMI’s websites and sponsorship database (Reach). Ability to learn on your own initiative and troubleshoot issues as they arise.

JMI Financial Responsibilities: 

  • Oversee all the work of the Data & Admin Assistant (direct report)
  • Work closely with ED, Finance Director, & Donor Information Assistant (DIA) to ensure correct accounting procedures are in place and executed each month 
  • Oversee DIA’s work of recording donations daily (Checks, Square, PayPal, Stripe, MobileCause, ACH, Cash) into:
    • SalesForce
    • JMI Sponsorship Database (Reach)
  • Work with FD to close the year, send out end of the year giving statements, and prepare for the annual audit.
  • Work with FD to ensure that all documents are sent to agencies that require yearly renewals. 
  • File and pay quarterly sales taxes. 
  • Together with the DIA, work with the Sponsorship Manager on all sponsor related payments. This includes alerting sponsors when payments have lapsed or need to be canceled. 

JMI Website & SEO Responsibilities: 

Responsible for keeping all JMI websites and systems up to date as well as implementing an overall SEO strategy using best SEO coding practices. ● Manages all back end of the website 

  • Ensure security and privacy of networks and computer systems
  • Troubleshoot website problems 
  • Identify, troubleshoot, fix, and optimize websites for SEO 
  • Research targeted keywords to guide digital strategies 
  • Maintain and update websites 
  • Monitor website traffic 
  • Stay up-to-date on technology 
  • Responsible for integrating the website with our sponsorship database called REACH 
  • Integrates donation forms into the website 

JMI Development Responsibilities: 

Donor Database Liaison:

  • Serve as Donor Database Liaison which includes running report and lists to assist ED and Director of Programs & Church Partnerships (DCP)
  • List Generation, Reporting, and Systems Maintenance
  • Support the Finance, Development, and Communication teams in providing accurate list generation from our donor database to utilize for all marketing and fundraising activities such as emails, mailed donor appeals, and communications, and marketing campaigns
  • Provide Development team with accurate and regular reporting of donor data and giving for adequate analysis and use by directors in fundraising
  • Provide great care and attention to maintaining updated and clean donor records and the overall data accuracy in our systems
  • Work with Sponsorship Team to ensure on-time payments from sponsors and troubleshoot sponsor issues with our Reach database or payment systems

 Donor Services Duties: 

  • Provide general donor correspondence including assisting, thanking, and communicating with donors via phone, email, and written communication
  • Support donation systems related to our annual fundraising Gala as well as other special events throughout the year
  • Collaborates with team members to provide excellence in donor service
  • Provide campaign-specific donation forms for campaigns being run by the Communications team
  • Other duties as assigned

Data & Admin Assistant

Education Minimum: BA or equivalent in experience 

Qualifications: 

  • Bachelor’s degree; 1-2 years of experience preferred 
  • Computer competency, particularly in managing data entry and retrieval (working knowledge of SalesForce database, QuickBooks online, & Microsoft Office) 
  • Exceptional people and organizational skills 
  • Highly detail-oriented 
  • Team player with the ability to initiate as well as implement plans 
  • Timely in responding to calls and messages 
  • Ability to responsibly manage financial requirements and assist in budget planning 
  • Willingness and ability to adhere to JMI’s policies and procedures 
  • Clear criminal background check 
  • Passion for taking the Gospel to the ends of the earth 

Reports to: SYSTEMS & DONOR INFORMATION SPECIALIST (SDIS) 

Status: Full-Time Employee 

JMI Financial Responsibilities (donation management): 

  • Remote deposit of all checks that come into JMI weekly 
  • Move money weekly from Paypal and MobileCause 
  • Record donations daily (checks, Square, PayPal, Stripe, MobileCause, cash, ACH’s, Wires, Stock donations, etc)
    • SalesForce
    • Reach database
    • Managed Mission site
  • Enter new donor information into SalesForce as needed 
  • Process all invoices, write checks and deposit cash
  • Collect and enter receipts from credit card transactions and manage expense reports from JMI staff Work with FD & SDIS to close the year, send out end of the year giving statements, and prepare for the annual audit 
  • Work with the Sponsorship Manager or Coordinator on all sponsor related payments. This includes alerting sponsors when payments have lapsed or need to be canceled. 
  • Other duties as assigned!

JMI Administration Responsibilities: 

  • Respond to [email protected] emails relating to finances and answer or forward sponsorship or other emails as needed.
  • Assist with all mailings 
  • Manage shipments from JMI online store 
  • Order office supplies as needed 
  • Send out thank you notes each week and manage a list of thank you notes that need to be written by other staff members 
  • support the Development team with donor correspondence, interdepartmental collaboration, and administrative skills
